Get Your W-2 Form Electronically

Sign up by Jan. 8 for electronic delivery of W-2 form 

If you want a jump on tax preparation this season, consider enrolling in electronic delivery of your W-2 tax form.

Duke staff and faculty who have not opted out of paper W-2 forms can elect to receive an electronic version for this tax season through the Duke@Work self-service site until 5 p.m. on Jan. 8.

Duke will make the 2013 electronic W-2 forms available Jan. 17, 2014 through the Duke@Work site. Payroll representatives will distribute paper W-2 forms after Jan. 25, 2014.

"Opting out of a paper W-2 form means a document that has your Social Security number and other private information is not being handled by multiple people," said Anne Comilloni, director of operations for Corporate Payroll Services.  "Viewing it online is a more secure way to access the information."

Last year, 10,708 employees opted out of paper W-2s, which saved Duke nearly 11,000 sheets of paper; these employees will automatically receive the 2013 W-2 form electronically unless they requested a change or no longer work at Duke. 

Once an employee has elected to receive a W-2 form electronically, that choice remains in effect for future years unless the employee returns to the Duke@Work site to change the election.  For all employees, W-2 forms going back to 2011 can be securely viewed online and printed if necessary through the Duke@Work site.  

Susan Brown, assistant director of admissions for the Pratt School of Engineering professional graduate degree programs, selected to receive her W-2 electronically in 2012 to reduce the amount of paper that clutters her home. 

"I lose envelopes, but I don't lose emails and electronic information," she said.
