New Online Tool Streamlines Benefits Changes

Employees making benefits changes due to life events can use a new online system

Duke staff and faculty who need to make changes to their Duke benefits after experiencing a life change, such as getting married or having a baby, can now update their benefits information online.

Before the new system, staff and faculty submitted a paper form by mail, fax or in person to the Duke Human Resources Information Center to notify Duke of a benefits change. In 2015, Duke Human Resources processed 3,796 qualifying life event benefits changes for employees.

“Through this online tool, submitting benefits changes to Duke Human Resources is now a more efficient process,” said Bill Marchese, executive director of Duke Human Resources Business Administration. “Employees also stay informed throughout the process because they get confirmation emails that their online form was received for review and then approved.”

Duke employees have 30 days to make the changes to Duke benefits if they’ve experienced a qualifying life event such as:

  • Marriage or divorce
  • Birth, adoption or placement of adoption of a child
  • Death of a covered dependent
  • Loss or gain of eligibility for insurance coverage for staff or a covered dependent (loss of student insurance or an individual policy does not qualify)
  • Change in a spouse's employment status which results in a gain or loss of insurance coverage
  • Change in medical insurance eligibility due to a relocation of residence outside current network area

The new online system is integrated with the Duke@Work self-service website, where employees sign in with their Duke NetID and password. Once within the site, select the “MyBenefits” tab and click the “Qualifying Life Event Enrollment” link to examine medical, dental and vision insurance coverage and reimbursement accounts and choose the qualifying life event.
