Taking Care of Concerns of Health Care Reimbursement Claims

Duke employees have raised concerns about rejection of valid claims

Duke Benefits officials said this week that they've taken steps to address concerns about valid claims submitted for health care reimbursement accounts being denied. Many of those valid claims were denied because of illegible receipts from health care providers.

In a memo sent out this week to faculty and staff who have health care reimbursement accounts, benefits officials said they have taken steps to eliminate potential problems. Claims are managed by WageWorks, the program manager for Duke's reimbursement accounts.

"Some valid claims have been denied in the last month due to hard-to-read receipts from health care providers," the memo said. "Many of these issues will be resolved because the Duke clinics are now issuing the original white receipt for reimbursement account documentation purposes, rather than the hard-to-read yellow receipt copy. Additionally, plans are being made for the clinics to purchase new printers, which will further enhance the imaging process.

"In the meantime, please remember these tips when filing claims:

"Please make sure that the copies of the receipts you submit are legible and easy to read. If your receipt is not legible, please request the original or some other itemized statement of charges and payments. (Please retain a copy of all receipts for your records.)

"Please make sure you are using a 2007 claim form. Claim forms are available through the Duke Human Resources website."

Employees are also reminded that health care and dependent care claims are filed on separate forms and that 2007 claims require Duke unique IDs instead of Social Security numbers.
